Every workshop can have its own refund policy: a window where participants get a full refund, a window where they get a partial refund at whatever percentage you choose, and a cutoff point where refunds stop entirely. If a workshop doesn’t have its own policy set, it falls back to your organization’s general policy, and then to a platform default — so there’s always a clear rule in place, even if you haven’t set one for a specific workshop.
Add-on sessions can carry a different rule than the main workshop — useful when an add-on has a cost that’s already been committed (materials ordered, a specialist already booked) and a standard refund window doesn’t really fit.
When a refund request actually comes in, the Wayfield Assistant reviews it against your policy, the workshop’s dates, and how much time is left before the workshop starts, and gives you a starting recommendation — approve in full, approve partially, deny, or offer credit instead of a refund. You can accept that recommendation or make your own call; either way it’s recorded, so there’s a record of what was suggested and what you decided.
The result: a policy that’s consistent every time it’s applied, and a faster starting point when a request needs a real decision.
